Vintage Campervan Wedding Hire Terms and Conditions

Please take a few minutes to read through the conditions of our hire.

The Hirer accepts responsibility for every person in his/her party and fully agrees to
the hire conditions as follows

Quotations are valid for 28days. Within this period a £100 booking fee will be required to secure your chosen day.

We accept payment by cash, cheque or bank transfer 

We require a booking form to be completed at least 6 weeks prior to your wedding day. It is the hirer’s responsibility to ensure that all information is accurate. Any changes after this date may incur additional charges and admin fees.

The full balance must be made 6 weeks before your wedding day. Failure to do so may result in cancellation of your booking and the hirer being asked to pay the balance in Full to cover any loss of earnings.

Any cancellations must be made in writing no less than 30 days prior to your wedding day.  Failure to do so will result in the hirer paying the full outstanding balance to cover loss of earnings to  Vintage Campervan Wedding Hire.

Should a booking be cancelled, with more than 30 days’ notice of your wedding day, any monies paid minus the booking fee will be refunded.

All refunds will be made within 7 days

The hirer accepts that it is there full responsibility for any damage caused by themselves or any other party member to the vehicle whilst on hire. Any damage will be at cost to the hirer and they will be liable for all repairs at our own approved garages. Spillages and breakages will incur a minimum £75 charge.

Our vehicles are maintained to a very high standard and under go pre-season checks and essential maintenance. Please bear in mind that our vehicles are over 45 years old. We are unable to take responsibility that may result in the delay or cancellation of bookings you may have.  By agreeing to our terms we cannot be held responsible for any mechanical, electrical or material breakdown. In the unlikely event of a breakdown every effort will be made to continue the journey or transfer you to another vehicle.

We normally take bookings between April and October to avoid snow and icy conditions. It is at our discretion for safety reasons that we may choose to offer alternate transportation.  If no vehicle is available a full refund will be given.

Should the vehicle breakdown after the ceremony no refund will be given; we will however do everything we can to ensure the bride and groom find transportation to their Reception, covering any reasonable costs incurred.

All routes will be checked before each hire for diversions due to road works, we will navigate the most direct route between each point but should you wish to specify a route this can be arranged at time of booking. We cannot accept responsibility for any timings being missed due to restricted access, heavy traffic, road closures or accidents causing delays.

Our VW campervan was manufactured in 1972 and comes with seat belts as standard. We do require anyone under the age of 18 to have received full parent/legal guardian consent prior to travelling in our vehicle. All children must travel with a responsible adult.

We are able to accommodate up to 5 passengers dependent on size of bride/bridesmaid dresses and car seat requirements. Please make us aware if any children are requiring booster seats or car seats as this may impact on the total seats available.

Our VW Beetle Tori was manufactured in 1974, she can accommodate up to 3 passengers.
We cannot be held responsible for any injuries caused by accidents, be it our fault or a third parties. We will accept no responsibility for loss or damage to personal property. Every effort will be made to return any items found after the hire.

Smoking is strictly forbidden in and around the vehicles at all times

We reserve the right to refuse a booking and may at any point terminate our hire service immediately should we feel any person(s) is causing concern to others or our vehicle. No refund will be offered.

We sometimes like to take photos on the wedding day to put on our website or Facebook page, if you would prefer for us not to do this please let us know at time of booking

We hold full Wedding Transportation and public liability insurance, however we would recommend that adequate transportation/ wedding insurance is taken by the Hirer.  Unfortunately due to licencing laws we are unable to cater for proms.
GDPR Statement:

Your personal data is safe with us, we do not collect email addresses forwarding them to third parties, that would be illegal.

Your personal data will be retained for a period of six months following the date of your wedding, at which time all will be deleted. If you require us to delete it at some other point in time please email rich@vcwh.co.uk with your request. The exception being the documentation that HMRC requires us to keep for a minimum of six years following our annual tax return. That documentation will be encrypted and password protected following our tax return and only re-opened at the request of HMRC. Once the six years has expired all information will then be destroyed. Other than us no other party will have access to any of your data with the exception of our accountants who will be able to access only that which they need to complete our annual tax return to HMRC.”
